Manage the Right Invoice2go Company and User Access

Invoice2go supports separate business accounts and shared access for team members, but those are two different arrangements. Mobile users can switch among multiple companies inside the app; web users must log out and enter the credentials for the other account. What Invoice2go is

Invoice2go is an invoicing platform for small businesses, contractors, and freelancers. Its web and mobile products include invoices, estimates, expenses, projects, reports, client records, payment options, and account-management tools. Some features depend on the selected subscription and region.

Multiple companies or one shared company?

A second business should not automatically be added as a team member.

Invoice2go treats separate companies as separate accounts. Each account uses its own business information, documents, settings, and login email. The public pricing FAQ says multiple Invoice2go accounts are permitted, but a different email address is required for each separate account.

Team access works differently. A team member enters an existing company account and works with that company’s documents according to the permission assigned by the owner. The employee is not given an isolated set of invoices or a second independent subscription simply because another login was added.

Choose the structure first:

Do this first: decide whether the person represents another company or works inside the current one. Skip account creation until that difference is settled.

Switch between Invoice2go companies

The mobile app provides a named account-switching path. On iOS or Android, tap the Profile icon, select Switch or add account, and then choose Add account. The next screen offers Create a new account or Sign in to an existing account.

The web application behaves differently.

Invoice2go says users cannot add and switch among multiple accounts from its web platform. A web user must log out manually and then sign in with the credentials for the other company.

That difference creates a common mistake. A business owner switches to Company B on a phone, later opens Invoice2go on a computer, and assumes the web session followed the mobile selection. It may not have. The company name in the upper-right area should be checked before a document is created or a subscription is changed.

Check twice before sending.

Invoice numbers, branding, clients, payment configuration, and reporting belong to the company account currently open. Correcting the active company before issuing the document is safer than deleting and recreating it afterward.

Add team members without giving away every setting

The Invoice2go Team Members feature can be managed by the account owner and by users who already have Access to everything. Its availability depends on the company’s Invoice2go plan.

Two permission levels are documented:

  • Access to everything: The user can create and edit documents and can view or change documents, reports, and settings.
  • Limited Access: The user can create and view documents but cannot open reports, manage settings, or export company data.

On the web app, the administrator selects the company name, opens Accounts & settings, chooses Team members, and then selects Add team member. The person’s email is entered, an access level is selected from the Access drop-down list, and Add sends an invitation.

Give Limited Access first when a worker only needs to prepare or review invoices. Skip Access to everything unless the person also needs reports, configuration controls, exports, or broader administrative authority.

A team member can be removed from Accounts & settings > Team members by locating the email and selecting Remove. Removing access is different from deleting the entire company account.

Know who owns the account

The account owner is the person who originally created the Invoice2go account. Invoice2go identifies that person in the Team members area of the web application. Transferring ownership requires a request to Invoice2go support rather than a routine permission change.

This matters when a business changes managers, bookkeepers, or owners. Giving a replacement employee Access to everything does not transfer formal ownership. The original account owner may remain tied to decisions involving the subscription, deletion, or ownership transfer.

Record the Account ID before contacting support. Invoice2go describes it as the unique number used to identify the company account, and the same Account ID is visible to team members who share that company. On the web, it appears after selecting the company name; mobile users can find it through the Profile area.

The Account ID is useful context for support, but it should not be confused with the login email.

Why the wrong email may appear on an invoice

The login email and outgoing invoice email are related differently on mobile and web.

On iOS, Invoice2go sends through Apple’s Mail app using the default email account configured on the device. On Android, a user can choose the sending email from the available accounts after selecting Send and Email on the preview and manage screen.

Invoices sent from the web app come from Invoice2go’s communications domain. The recipient’s reply-to address is automatically set to the Invoice2go account email. The web app does not provide the same outgoing-address selection described for mobile.

That distinction can expose the wrong business identity. A phone may have several mailboxes, while the currently open Invoice2go company belongs to only one of them. Review both the company account and the outgoing address before delivery.

Changing the account login email is another action. Invoice2go says that updating it changes the email used to access all accounts associated with that email and affects where account, subscription, marketing, and payment communications may be received. The new address must be confirmed through the verification link sent to it.

Connected services such as PayPal or Xero are not automatically changed merely because the Invoice2go login email is updated.

Keep payment settings tied to the correct company

Online payments can be enabled at the company-account level or switched on and off for individual documents. On mobile, the route begins with Profile > Client payment options. On the web app, select the company name, open Account & settings, and choose Client payment options.

This deserves a separate check when several businesses are managed from one device. A payment method configured for one company should not be assumed to apply to another independent Invoice2go account.

Online transactions received through Invoice2go are recorded in the application and reflected in reports. Payment methods, processing times, fees, limits, and availability can vary by provider, account, and region.

Card-payment environments are governed by the Payment Card Industry Data Security Standard (PCI DSS), which defines baseline requirements for protecting payment account data where it is stored, processed, or transmitted.

Use the payment controls inside the correct company account. Skip copying payment assumptions from another business or an outdated review.

Export records before canceling or deleting

Company-data exports are available only through the Invoice2go web application. The documented export can include invoices, estimates, credit memos, purchase orders, expenses, items, clients, time tracking, and appointments.

Open the company name, select Account & settings, choose Export data, select the required category, and click Export. Invoice2go sends an email containing the download, and the export arrives as a compressed CSV file.

The CSV export is not a historical copy of each finished invoice. Invoice2go tells users who need the actual invoice document to print and save a copy separately. It also cautions that the exported data is not a purpose-built QuickBooks or Xero import, although another platform may accept a correctly formatted spreadsheet.

Export first. Delete later.

Permanent deletion removes the company’s documents, personal information, login credentials, and associated team-member accounts when the request is made by the account owner. A separate Invoice2go account for another business remains unaffected.

Cancellation is less final. Invoice2go says canceling stops future renewal and lets the subscription run until the end of the current billing cycle. Data is not permanently deleted simply because the subscription was canceled.

Apple and Google subscription links need special attention. Invoice2go says only one account can be linked to an Apple ID or Google account at a time, and subscriptions cannot be shared among multiple Invoice2go accounts. Confirm the active company before purchasing or managing a subscription.

Fix sign-in trouble without losing the company context

The Invoice2go web login asks for the account email and password, followed by a six-digit verification code sent to the email address. The verification screen includes Remember this device and Confirm.

A reset link expires after 24 hours, and only the most recently issued link remains valid. Multiple unsuccessful login attempts can also trigger a temporary account block and the Login Attempt Blocked email containing Allow login.

When several companies are involved, confirm which login email belongs to the account that is unavailable. Resetting the email for Company A does not restore a separate Company B account that uses another address.
